Slow computers

Your four-year-old laptop is not slow because it is old. In most offices the cause is one of two things: a mechanical hard drive, or 8GB of RAM trying to run Teams, Outlook, and 20 browser tabs at once. Both are cheap fixes, usually far less than replacing a machine that still has years left in it. Check it in two minutes: on Windows, open Task Manager, click Performance, and watch the disk. If it sits near 100% while you work, the drive is the bottleneck. On a Mac, use Activity Monitor. A drive swap usually costs a fraction of a new laptop and buys another couple of years. Office 365 tips

Check Outlook for a forwarding rule you never created. When an attacker gets into a mailbox, one of the first things they do is set a rule that forwards every new email to an outside address. Then they delete the security alerts so you never see them. You can check in two minutes. Sign in to Outlook on the web, open Settings, then Mail, then Forwarding, and also check Rules. Anything you did not create is a problem. Remove the rule, change the password, and sign out of all devices. A fake invoice is often the first sign. The rule was already there for weeks. VoIP
Fri, Nov 6
Approved

Where does 911 ring if it's called from your office phone? VoIP phones only know the address someone registered for them. If that address is wrong, emergency responders are sent to the wrong building, and after an office move or a phone system change nobody checks it. Fix it today: confirm the registered address for every desk phone and every work-from-home softphone, and update it whenever someone changes floors or works remotely. Miami-Dade responders need the address where the person actually is, not the suite you left two years ago. Hurricane-season readiness
Sat, Nov 7

Hurricane season ends November 30. Your shutdown plan is still untested. The part that hurts most is rarely water damage. It is a week with no email, no phones, and no way to invoice clients. Before the next warning: write one page listing what to unplug and in what order, test remote access from home today, and confirm your team can reach email on their phones if the office loses power. Brickell, Doral, and the Beach lose power differently. Test your plan from the neighborhood you actually work in. Law firm data rules
Sun, Nov 8
Approved

Client files should never leave as a plain email attachment. Florida Bar Rule 4-1.6 requires lawyers to make reasonable efforts to keep client information confidential, and that covers how you send and store it, not just what you say. Three things to do this week: send client documents through an encrypted link instead of a plain attachment, turn on MFA for every attorney's email, and write down where client data actually lives — server, cloud, laptop, phone. If you cannot answer that last one, you cannot tell a client where their file lives either. Book a free 15-minute call at the link in bio. #MiamiBusiness #MiamiITSupport #LawFirmIT #LegalTech

Signs your IT provider is failing you
Mon, Nov 9

Can you name the last three things your IT guy fixed? If not, here are the signs that should worry you. You find out about outages from your staff instead of your provider. They will not give you the admin passwords. And there is no monthly report of what was fixed and what is still open. A good provider sends a short report every month without being asked. Ask for one today. If the answer is a surprise invoice instead, you know what you are paying for.
