How Miami Businesses Can Review a Week of Inbound Calls
A single week of recorded calls will show you exactly where clients are getting lost, put on hold too long, or handed off poorly. Here is how to do it without technical expertise.

How Miami Businesses Can Review a Week of Inbound Calls
Most business owners assume their phones are working fine until a client mentions they called three times and never heard back. One week of recorded calls gives you real evidence of what is actually happening, not what you hope is happening.
Why Recording Calls Reveals Problems You Cannot See Any Other Way
When a call is recorded and stored, you get a replay of every greeting, every hold, every transfer, and every missed handoff. Memory is unreliable. Notes are incomplete. A recording is exact. Reviewing even a handful of calls each week lets you catch a staff member using the wrong greeting, a client being left on hold too long, or a voicemail box that is full and silently rejecting calls. South Florida businesses that handle high call volume especially benefit because problems repeat in patterns, and patterns are easy to fix once you can see them.
What You Need Before You Start Recording
Most modern business phone systems, including cloud-based VoIP (Voice over Internet Protocol, meaning your phone calls travel over the internet instead of a traditional phone line) systems like RingCentral, Dialpad, or Microsoft Teams Phone, include call recording as a built-in feature. Check your admin dashboard, which is the control panel where you manage your phone settings, and look for a section called Call Recording or Compliance Recording. If you are on a legacy system, meaning an older on-premise phone setup, your provider may offer recording as an add-on. Before you turn anything on, check Florida law: Florida is a two-party consent state, which means all parties on a call must be informed that the call is being recorded. The standard way to comply is to play a short recorded message at the start of every inbound call that says the call may be recorded. Your phone system almost certainly has a setting for this.
How to Set Up and Run Your One-Week Review
- Log in to your phone system's admin dashboard and enable call recording for all inbound lines.
- Add a brief consent message that plays automatically when a call connects.
- Let the system run for five full business days without telling staff what you are reviewing.
- At the end of the week, pull the call log and listen to a cross-section of calls: the shortest, the longest, any that ended in a voicemail, and any flagged as missed.
- Write down the three most common friction points you hear, then meet with your team to address each one with a specific script or process change.
What to Listen For During Your Review
You are not grading employees. You are diagnosing your phone process. Listen for these specific things: How long before someone answers? Is the greeting consistent across staff? Are callers being transferred without an explanation? Are voicemails being returned the same day? Does any extension ring out without reaching voicemail at all? Each of these is a fixable setting or a short script you can hand to staff. For example, if transfers are confusing callers, write a two-sentence handoff script and post it at every desk.
How to Know the Review Worked
After you make changes based on what you heard, run another week of recording one month later. Compare the two sets of calls. You should hear shorter hold times, consistent greetings, and fewer calls dropping to voicemail during business hours. If clients are calling back less often to repeat the same question, that is a reliable sign your process improved. The goal is a phone experience that earns trust the first time, every time.
One week of recorded calls gives you more useful information about your client experience than months of guessing.
